Role Summary:
Our client has an exciting opportunity for a motivated and organised Administrator who will support the multiple operational projects within the HR department. Reporting directly to the HR Operations and MI Manager, you will support the HR team and its c800 internal clients, across eight distinct business units. The successful candidate will be comfortable working independently and collaboratively with others in HR and the wider Agency. The role would suit someone looking to work 5 days a week (Mon-Fri) on a part-time basis.
Principal Accountabilities:
Support the delivery of the annual procurement calendar for HR in a timely and efficient manner and in line with the current procurement policy and procedures.
Update and monitor the CRM system to ensure HR tender requirements are progressing
Liaise with the Procurement and Legal Departments in relation to administration issues around the publication of tenders, Q&A, tender panels, contract issues, etc.
Work with the HR team to ensure procurement projects are completed on time and be the liaison with legal and procurement
Liaise with Legal in relation to any queries on the HR Contracts register.
Provide updates to wider HR team on procurement issues and following up on actions to ensure tenders are completed
HR Operations, Risk Management, Compliance and Audit
Assist in the periodic audit of files and processes to ensure compliance.
Work with the HR Operations and MI Manager to update the risk register, and on compliance and audit requirements, including the quarterly and annual sign offs and attestations by the Senior HR team.
Liaise with Risk, Compliance and Audit in relation to best practice and the implementation of policy changes within the HR department.
Coordinate and assist other areas of HR in relation to internal and external audits as required.
Support the review and update of the HR BCP plan.
GDPR, Data Protection and File Management Responsibilities
Support the GDPR/ Data Protection initiatives within the HR team.
Follow up on queries from Compliance, the DPO and Records Management.
Update the HR Data Inventory, Document Management and Retention schedules.
Work with the wider HR team in relation to Data Protection and document management including, hard and soft copy document reviews.
Experience/ Skills:
Ability to effectively prioritise and complete key tasks and deliverables with a high attention to detail.
Organised approached to work
Word, Excel, Outlook and MS teams experience desirable
Strong written, verbal and numerical skills
Be able to demonstrate creative and innovative approaches to enhancing processes /operations. Ability to work as part of team and on own initiative.
Previous administration experience required.
Relevant HR experience would be advantageous.
Knowledge of relevant national and EU legislation including, Data Protection, Procurement and Employment legislation and advantage
